- Time -- billed from a minimum block of three hours, which includes the driver's vehicle check before your program starts and the return trip to the garage after it ends.
- Distance -- the total distance the coach covers over the day, including that same garage-to-garage travel.
That "garage to garage" point is the detail first-time corporate planners miss most often. A full-day retreat itinerary is priced on the entire span the coach is committed to your group, not just the hours your team is riding in it.
Driver working-hour limits also shape how an itinerary can be built:

There are three distinct ways to contract a charter bus in Japan, and it matters which one you are actually signing.
- Direct charter contract: your company contracts straight with the bus operator, with no agency in between. You handle the paperwork and any schedule changes directly with the operator yourself.
- Arranged transport booking: a travel agency -- our role at Maat -- arranges the bus on your behalf. We select the operator, handle the contract and paperwork, and stay as your single point of contact, but the bus itself is the only element being arranged.
- Custom-built package tour: the agency arranges the bus together with other parts of the retreat -- hotel, parking, or a venue -- as one bundled itinerary built around your request, rather than a bus booking on its own.
For a corporate retreat, most overseas offices find one of the agency-arranged routes -- whether transport-only or bundled into a full package -- easiest, since it removes the need to vet a local bus operator directly.

Can the driver meet us at the airport with a name sign? We do not offer an airport arrivals-hall meet-and-greet with a sign. Instead, we agree on a fixed pickup point in advance -- typically your hotel, office, or a station forecourt -- and the coach meets your group there at a set time.
Should we contract the bus directly or book through a travel agency? If your team already has a trusted local contact and is comfortable handling Japanese-language paperwork, a direct charter contract works well.
